Minutes for 2 July 2002 meeting

ALIA Victorian Australian Library Technician Group monthly meeting to be held at State Library of Victoria, 6:00pm.

Present: Kerrie Kelly, Linda Notley, Bradley O'Brien, Alison Kearney, Libby Brackenridge, Clare Bristow, Aranka Folino, Linda Jowsey, Tricia Murray (minute taker), Carol Lomas-Fisher, observer.

  1. Welcome and apologies. Kerrie welcomed those attending, and introduced Linda Jowsey, a new committee member, and Carol Lomas-Fisher an observer to the meeting, and congratulated those who had re-nominated to the committee.
Apologies: Colin Chappell, and Nadine Gardiner.

  2. Minutes of previous meeting
    Accepted with no corrections.

  3. Activities for 2002
    Annual General Meeting
This was held at Bells Hotel on 21 June 2002. Twelve people attended, although technically we did not have a quorum the meeting went ahead. The following people were nominated for the positions.
    Convener: Kerrie Kelly
    Deputy convener:Clare Bristow
    Treasurer: Alison Kearney
    Secretary: Patricia Murray
Committee members: Linda Notley, Aranka Folino, Libby Brackenridge, Linda Jowsey, Bradley O'Brien (Victoria University rep.)
    Swinburne rep. Colin Chappell
All agreed it was an excellent venue, as it had a function room in which we could conduct our meeting. Food could have been brought up at an additional cost, and this could be looked into for next year.

    Techs on Tour
Brad mentioned that everything was in place for the day, and Kerrie and he had met with Sue Clarke, (head of his section) to discuss the plans for the day. The committee went over who had volunteered to make the soups required for the day, Jackie White, a volunteer had offered to make her pumpkin soup, and Kerrie had to volunteer to make an additional vegetable soup. Cutlery and equipment was also discussed, as many members did not realise that the technicians group had built up a supply of items required over the years. Volunteers were sought to take participants to the various libraries in the afternoon. Jackie had volunteered to help during the day, and was going to leave early to ensure that everything was ready at the State Library. Linda was to lead to group to the State Library, Brad to the Legal Resources Centre, and Clare and Libby to the Royal Melbourne Hospital. Gifts of appreciation would be taken to those at the other sites for offering their libraries as part of the tour.

    Future meetings
August's meeting will be held at Box Hill Manningham Library, and Sue Hall has organised a tour of the library prior to the meeting. The library has also volunteered to provide supper, which is extremely generous of them. It is hoped many others will attend the meeting to see around the library, it is naturally being advertised in the usual manner.

    Jobs skills workshop.
This has been set down for 19 October, to be held at the State Library of Victoria, and be presented by Clare Bristow and Libby Brackenridge. Kerrie reported that Margie Anderson (One Umbrella) has said she would be delighted to participate in the workshop. The same fees were set down, as for the Internet workshop.

    University of Ballarat visit
Kerrie had received a suggestion that we visit several libraries in Ballarat, instead of talking to the students. All agreed this was an excellent idea, but perhaps should be held next year, as they felt that we had too much on in October. Many dates were suggested, but most agreed that late February or early March would be better to enable more students to attend.

    Proposed library display presentation
Linda Jowsey, suggested that this type of event would be very useful as it could be beneficial to those who were at school libraries, as there is not usually a large budget allocated to do displays. Linda had contacted somebody from Visual Merchandising (RMIT) to see whether this could be arranged. The costs involved would $1500.00, which would cover the costs of the lecturer, it was unclear as to whether or not this would include a venue, and hands on for the participants. Kerrie suggested that Linda should contact the Schools Section of ALIA to see if they had any other suggestions, or if it could be held as a joint venture between the two sections, as concern was raised about the cost of the venture.
Action: Linda J to contact Schools Group to see whether they would be interested in a joint venture.

  4. Activities for 2003
    Canberra visit with NSW technicians.
This appears to have been agreed on by both sections to take place 23-24 April.

  5. Conference bid for 2005
Kerrie suggested that perhaps the committee reps from this should be contacted to see whether or not they wish to reconvene to put in a bid. The committee from NSW would also have to be contacted as it was thought that if there was a single bid, it would be easier to ensure that it went ahead. There was much discussion on whether or not the bid would be accepted, as most were unclear of what was coming out of ALIA National Office about it. We all agreed that the committee would like some guarantee that if a bid was put forward, it would be accepted. Clare to contact members of this committee to get their ideas.
Action: Clare to contact committee members to find out whether they wish to reconvene.

  6. EmployLT: Libtec advertising Linda Jowsey asked whether the committee thought that she could advertise jobs from DEET (Dept of Employment and Education Training) as part of the jobs advertised through LibTec. Kerrie suggested that she contact DEET to see if there would be any problem, and the could be sent on to the person who is going to add any jobs to the list.
Action: Linda J to contact DEET to see if this is possible.

  7. Convenor's report
Correspondence: As usual Kerrie has had a great deal of correspondence, particularly to do with Techs on Tour, and she presented those present with a copy of what had come in and out.

  8. Treasurer's report
Prior to the meeting, both Aranka and Alison met to discuss the duties involved in the treasurer's position. Aranka mentioned that it is still extremely difficult to have a report from ALIA in time for our meetings.

  9. Other business
Aranka asked if anybody had thought about nominating a technician for any of the awards that ALIA offers, however, nobody had given it much consideration.
Kerrie thanked Aranka on behalf of the committee for all her work as treasurer and was glad that she was continuing as a committee member.

Next meeting: Tuesday 6 August at Whitehorse Mannigham Library, Box Hill Branch.
Meet in foyer, the meeting will follow the library tour, supper provided.
