Meeting minutes

Tuesday 20 April 2004

Present: Mark Jones; Jane Knowles; Mandy Lupton; Annmaree Lloyd; Cathy Costa; Biz Burke; Lesley Ngatai; Helen Partridge
Apologies: Sharon Uthmann; Lynn Mcintosh

1. Welcome and introduction

Lesley welcomed all to the committee and each member introduced themselves.

2. Previous meeting minutes

The committee voted to accept the minutes from the last meeting.

3. Meeting dates

The committee agreed that the group should meet every second Tuesday of every second month at 4:00pm. Therefore the meetings for the year will be: 8 June; 10 August, 12 October and 14 December.

As a large number of the committee will be attending the Lifelong Learning Conference in June it is also planned that an informal meeting of the committee will take place during the conference.

4. Satellite event

After much discussion the committee decided to not hold a satellite event for the ALIA 2004 Conference. The primary rationale for this decision was the lack of time to prepare and promote the event before September.

The committee brainstormed ideas on a possible theme or topic for future CPD events. Topics and themes discussed included: workplace and IL; community/public libraries and IL; education of librarians to engage in IL.

5. Role and purpose

The committee discussed the role and purpose of the group. Key points raised during the discussion included: (i) No mention has been made regarding the groups relationship with other IL based associations/groups (i.e. ANZIIL). (ii) The group should actively endeavour to be of relevance to the entire Australian library community interested in or involved in IL. (iii) The IL forum held each and the online newsletter are both a positive contributions from the group to the library community and they should continue. All committee members are asked to critically reflect upon the role and purpose of the group with the view to providing feedback and suggestions at the next meeting.

6. Web page access

The committee discussed the issue of restricted access to the group's web page. Currently there are key parts of the group's web page, which can only be accessed by ALIA members (individual or institution). For example the group's newsletter, which has recently gone from a print to an online format. The committee is concerned about the impact this restricted access will have on the groups ability to successfully meet their stated role and purpose within the library community. On behalf of the committee Lesley will draft a statement of concern on the issue of access to ALIA.

7. Newsletter

Jane has completed a draft of the next issue of the newsletter. Jane briefly outlined what the newsletter will contain. Once membership statistics have been received from Georgina the newsletter will be forwarded to the committee to review. The newsletter will be released this month on the group's web page.

8. Treasurer update

Liz informed the committee that there was an outstanding issue with the groups finances relating to a function that the group was not actually involved with. Liz is liasing with Dee Gillespie (the group's former treasurer) to resolve the situation.

9. 2004 Online Forum

The committee discussed the theme for this year's online forum. The committee decided that a focus on IL within community might be a suitable theme. Mark will be co-ordinating this year's forum. Mark will liase with Helena (last year's forum moderator) to find out more about the practical aspects of co-ordinating the forum. Mark will arrange for an expression of interest to be posted on the group's discussion list to try and find a person to lead the discussion. Whoever will be leading the discussion will need to draft either a short paper or produce an extended 'abstract' with discussion questions. Ralph Catts was suggested as a possible discussion leader. Lesley will approach Ralph.

10. Next meeting

4:00pm 8 June 2004.
