ALIA WA Forum

ALIA WA Forum meeting, 10 September 2001

Rm 2.9, 2nd Floor, Alexander Library Building at 5:30pm.

Present: K Poustie, E Bardoe, T Parker, B Bruce, C Peters, and R Cowan

  1. Apologies: B R Bruce, C Snowball, B Grayson, J Klobas.

  2. Minutes of previous meeting.
    Accepted - with correction to Apologies, Kay Poustie had sent her apologies but they do not appear in the minutes.

  3. Matters arising from previous minutes.
    Action items:
    3.3.2 Margaret at Graduate School of Business re leadership seminar regrets she cannot participate. Ann McAllister at City of Nedlands, re leadership seminar, is delighted to accept.

    3.3 Bonnie Rae Bruce to write letter to Clare Forte requesting 2.9 for WA Forum meetings. Completed.

    4.0 Correspondence Out. No response has been received to the Invoice to Kondinin Group for the WA Forum share of the Geraldton Internet Workshops profits. A reminder notice has been sent to J Baines.
    Action: Trudy Parker to maintain watching brief for a response.

    5.1.2 Lunch for Local presence officer. Cancelled.

    5.3.2 Professional Reading Group Topic 'Copyright and Contract'. Difficulty in finding someone willing to facilitate the event, but finally Paul Genoni agreed to undertake the task. He has commitments until early October so we have set a date for 31 October in Room 2.9 Alexander Library Building. Ruth will publicise the event ASAP after all arrangements have been made.
    Action: Bobbie Bruce to investigate the person at Freehill Hollingdale and Page who is knowledgeable on copyright issues, to see if she is available.

    5.3.3 Leadership seminar. Bobbie Bruce to send executive spreadsheet of costings to WA Forum. Completed.

    5.4 Biblia. Bobbie talked to Ivan at ALIA National Office regarding getting Biblia onto the ALIA website. Completed. More detail in convenor's report.

  4. Correspondence
    4.1 Correspondence in:
    4.1.1 Letter from Susanne Bruhn, deputy executive director ALIA, to WA Forum Treasurer, dated 5 September 2001. Re: Group Budgets 2001 and 2002.
    4.1.2 Letter from Elaine Fitzgerald re: Finalisation of WA Branch budget matters. Action: Trudy Parker to act and respond.

    4.2 Correspondence out:
    4.2.1 Letter from Bonnie Rae Bruce, ALIA WA Forum secretary, to Clare Forte, state librarian, dated 7 September 2001. Re: Bookings for Room 2.9 State Reference Library. See matters arising item 3.3

  5. Convenors reports:
    5.1 Visit to ALIA National Office. The visit to ALIA National Office in Canberra was very successful. Bobbie met Susanne Bruhn for a CPD discussion on career long learning and co-operation with external bodies and the Dwight Walker topic.
    Action: Eilishia Bardoe to write to Susanne Bruhn regarding precedence and bring the details of Dwight Walker idea to Susanne's attention.

    5.2 Also spent 3-4 hours with Ivan Trundle. He had just signed the contract for the new internet broadband service. Ivan was pleased to offer WA Forum assistance with Biblia. Claire Snowball had indicated that she is able to make the necessary adjustments, and Ivan indicated that he is now able to allow PDFs on the ALIA website. Ivan is willing to give WA Forum loading control and to facilitate our loading biblia, so long as WA Forum adheres to the Bobbie 1 Protocol, ie that anything put up on the website must be interpretable. Ivan is pleased to provide assistance if we need it.

    5.3 Policy statements. We need to ratify the new policy directions listed in the Policy Statements on the ALIA website and raised in the aliaNEWS recently released. The policy statements can be found at: http://www.alia.org.au/policies/. A response from WA Forum on the Code of Conduct is required. E-mail responses and comments to Bobbie Bruce.

  7. CPD report
    7.1 17 October. Where do we go from here? Librarians moving on from libraries. All organised. Speakers are confirmed. Publicity is to start next week.

    7.2 31 October. Professional Reading Group Topic: Copyright and Contract. Finding a facilitator has been difficult. Now in hand and arrangements are progressing.

    7.3 21 November. Leadership seminar. We are to view the venue at Cottesloe Beach Hotel, and finalise the menu on Thursday 13th September. We will ask CBH to send an invoice for the deposit to Trudy Parker. Speakers are confirmed as Lian Borlace, Kerry Smith, Ricky Burgess, Ann McAllister and Kay Poustie. On 15 September the CPD Committee are meeting at my house to finalise the text of publicity, information, letters to speakers, etc.

  8. Biblia report
    8.1 No member of the Biblia editorial team attended the meeting. Bobbie Bruce reported on her visit to Canberra and its effect on Biblia in the convenor's report. No one could recall noticing the appearance of the usual e-mail announcement of the publication of the latest issue of Biblia.

  9. General business
    9.1 Member recruitment: There was some discussion on a requirement for recruitment ideas for more active WA Forum members. It was decided that anyone who attends a CPD event is a member.

    9.1.1 It is necessary to collect solid feedback. With this feedback and perhaps more feedback from a brainstorming event early in 2002, we can analyse and collate the information for use in the 2002-2003 budget.
    Action: Eilishia Bardoe to create a feedback form template to be used at CPD events.

    9.1.2 We need a list of WA Forum members - of all those people who ticked the WA Forum box on their membership renewal forms.
    Action: Secretary to discover if the answer of membership number via the query form on the ALIA website.

    9.1.3 People may feel that they can't attend WA Forum meetings. If this misconception exists it can be overcome by the formulation and distribution of a general invitation to attend WA Forum meetings. The invitation can be distributed electronically with the WA Forum meeting minutes.
    Action: Trudy Parker will write a general letter of invitation to members inviting them to attend meetings, to be sent as the e-mail with these minutes attached.

    9.1.4 Another way to ensure members know that they are welcome to attend WA Forum meetings is to have a brief phrase included as a footer on every page of Biblia, such as, 'Burning issues - Come to the Meeting'.
    Action: Bobbie Bruce to raise the inclusion of a footer in her meeting with the Biblia team on Thursday 20 September.

  10. F A Sharr Medal
    10.1 Held over from the last meeting. The highlighted line on the attached form is the only major change to the FA Sharr Medal nomination form. The form also contains several minor anomolies arising from name changes of several organisations, including ALIA WA Branch. In the bottom line column of the September issue of Biblia, Bobbie Bruce encourages members to read the FA Sharr Medal form and ratify the change. Bobbie will also be visiting Curtin University, Edith Cowan University and Perth TAFE to talk to students about the FA Sharr Medal and encourage nominations.

    10.2 Trudy Parker suggested that a letter be sent to the heads of library and information studies schools emphasising the change to the nomination process for the F A Sharr Medal. Teaching staff at Curtin University, ECU and Perth TAFE would be encouraged to nominate appropriate students for the award. All agreed. The meeting ratified all the changes to the F A Sharr Medal nomination form.
    Action: Roberta Cowan will write the letter to Curtin University, ECU and Perth TAFE LIS heads of school.

  11. Library and Information Week
    11.1 A Library and Information Week co-ordinator is required for 2002. LIW has already been mentioned in ALIAnet. The 2002 theme is 'Powering our future' which is also the theme of the 2002 ALIA Biennial Conference.

  12. Other business
    12.1 The meeting was asked if WA Forum meetings should continue to be held every month or would every two months be more appropriate? All agreed that monthly meetings are appropriate.

    12.2 Kay Poustie's term as the ALIA representative on the Library Board is about to end. The Minister's Office may require a replacement and/or nominations for a new representative on the Library Board. It is usual for the Government to require ALIA to forward three names for consideration. Kay Poustie is happy to continue as the ALIA representative if it suits WA Forum. A letter should be written to notify the Minister of the imminent change.

    12.3 The ALP Policy on Public Libraries is to be launched at the Riverton Public Library at 12:30pm on Sunday 16 September. Bobbie Bruce will endeavour to attend.
