ALIA Victoria

Meeting minutes

Minutes of committee meeting held on Tuesday 22 January 2005 at RMIT library conference room.

Present: Alison O'Connor, Cheryl Walker, Ian McGregor Wendy Costigan, Jenelle Cleary, Margaret Smith and Margie Anderson.

Apologies: Tania Barry and Kerrie Kelly.

From previous minutes, christmas function made a profit of approx $200.00 not the $79.20 as stated in the last mintues.

Committee membership

Jennifer Joh has resigned from the committee due to work commitments. We thank Jennifer for all her assistance during her time on the committee.

Need to approach the library schools again to see if we can get some student representatives on the committee. Alison will contact Monash, RMIT, Boxhill and CSU to see if anyone is interested.

Digitalization and e-press

Will be on 10 March at 5:30pm for 6:00pm. Should finish around 8:00pm at Monash Clayton campus. Andrew Harrison will be the guest speaker. Free parking at the venue after 4:00pm which is a bonus.

Ian is organising the speaker, room and enquiring about refreshments. Ian will do the introduction for Andrew. Ian will also do the publicity and be the RSVP (and we are all very grateful to Ian for all of this).

On the publicity Margie reminds us that we should put that this will be worth four points (Margie will confirm point score) for CPD.

Its actually 2 points and should have on it:
'When you attend this event you can record it as two points under the category of informal learning on your ALIA CPD membership. Just go to http://.alia.org.au/education/cpd/ to track your CPD online or to join the CPD scheme.'

Ian will have the publicity out by the end of the week. Margie will check before that to see if she can send it straight to the ALIA list owners. If not Ian will send to ALIAVIC as well as PLINC, SIMS Monash, Ref Co-op; Margaret will send to Libtech group; Cheryl to SLAV and on ALIA website; Jenelle to RMIT, New Grads group, mentoring group and RMA.

Ian to check about costs for refreshments. Wendy will get gift. Cost will be $5.00 for non-members free for members or if we need to pay for refreshments $10.00 for non-members and $5.00 for members. Jenelle will bring a digital camera to start getting photos of our functions.

Tour of parliamentary library - April function

Booked for 28 April if suitable with the Specials group and be a joint tour. This may just be an ALIA VIC tour if not compatible. Jenelle will organise the tour and publicity. Jenelle going to find out about catering from parliament and costings or whether we go private. Publicity to go out the same as the digitalisation and e-press function.

Would like to combine this with a farwell for Moyra. If Alison can please book her in. InCite deadlines for 2005 at the end of these minutes. Margie to ask ALIA office for a gift. We suggest something like an ipod. Good for her travels.

This could also be combined with an article in InCite about Moyra. Jenelle to ask Bruce Davidson if he could do this.

This function would also qualify for CPD points.

Comment that Racoe has offered on a few occasions to sponsor a supper. Racoe can be approached after we find out the costings to see if they could sponsor us.

National Archives

Jenelle had a meeting with Jeanette Inglish from the public record office. Jeanette who represents the RMA(VIC), had approached ALIA VIC and others for the opportunity of networking and event sharing. They appear to be a very active group and want to exchange event information. We will also be exchanging e-lists for publicity of our events. The chance to share information, events and calendars was agreed by the committee to be a wonderful idea. Jenelle is going to another meeting with Jeanette on 17 March (Margie also to attend). The idea was also to share ideas and speakers. Looks like a very valuable resource.

Library week

The library week function will be organised at the next meeting. However it was thought that as we are already having one tour we may not do the city library function then but do another professional session. It was considered to take the copyright session from August and put it in the week after library week. Calling it library week wrap up (instead of thank god its over). Margie suggested get Steve O'Connor who spoke at CAVAL in NSW to redo his paper at this time (he was the keynotes speaker for the Gulliver Conference February 2005).

Go to http://www.caval.edu.au/about/staffpub/ to find a list of papers he has presented. Margie to approach him to see if he is available.

We could also could piggy back or get an expert from the RMA who will speak in library week to redo a copyright talk for us.

Margie also to see when Rob Ryan from ALIA office is coming down and we could do the function then.

Another idea was to get a guest speaker and then a panel with other interesting people on it to talk about the different roles of copyright in different organisations.

Christmas party

Margie has contacted the Sun cinema in Yarraville to find out if we can repeat a function that was held a few years ago. That is for christmas have a movie night and cocktails. The movie that Margie was looking at was The librarian. No one had seen it but a few had heard about it. Margie had not had a reply from the cinema by the meeting time. All agree would be a great idea.

ALIA WA

Jean from ALIA WA contacted Jenelle to talk about the frustrations her group has been having with ALIA office. It was suggested by Jean that all the state convenors have a teleconference and speak about lobbying ALIA office to address some of these concerns. Concerns that ALIA VIC group would like to look at are funding for state banners, budgets and getting funding for projects and the ALIA homepage and its user unfriendliness.

Mentoring

David from CAVAL has approached Margie about ALIA VIC group and mentoring. At this time it was decided that the mentoring process as it is was sufficient but we need to remember to keep them informed about all of the ALIA functions.

Next meeting

Note change of date from last minutes, 5:45pm Tuesday 19 April at Melbourne Grammar School - Wadhurst Library. Corner of Domain and St Kilda Road, Melbourne. Will confirm parking on the day.
