Meeting notes and report
The ALIA local liaison officer (or the ALIA member organising your regional meeting) will be responsible for taking the notes of the meeting and writing the report of the meeting to be updated and the NAC regional meeting web pages and sent to national office. The reports are to be completed within one week of the meeting.
Roll of personal members and institutional representatives attending the regional meeting
Would you please ensure that the delegates name and ALIA membership number and signature are recorded? It is essential that participants are financial personal members or the designated representative of a financial institutional member.
It is essential that the roll is accurate as these members will all be eligible to vote in the 2006 election of directors if the motion to change the election model is not successful at the November general meeting.
Selection of one representative of the meeting to attend Canberra NAC
Each regional meeting is invited to choose a representative to attend the NAC in Canberra on 25 - 26 November.
Any financial member attending the regional meeting may be the representative to the NAC.
Responsibilities of being a regional representative attending the NAC include:
- Being available to attend the national meeting in Canberra on 25 - 26 November 2005
- Fairly representing the outcomes of the regional meeting
- Being prepared to participate actively in the national meeting
- Presenting the most popular success story from the regional meeting (a total of five minutes will be allocated to each regional representative at the NAC. This is to be a simple oral presentation - there is no need for overhead transparencies or PowerPoint presentations)
Based on feedback from previous NACs it is suggested that the selection of the regional representative be carried out early in the meeting. This allows the representative to participate in the regional meeting with the knowledge that they will be responsible for representing the meeting at the national meeting.
Note: Would you please ensure that the ALIA local liaison officer or ALIA member organising the meeting provides the details of the meeting's representative to the national meeting in Canberra to Georgina Dale at ALIA National Office as a matter of urgency.

Guidelines for discussion
- Celebrating success
Members are invited to present an ALIA success story from this year. These stories should contain an element of fun and give members an opportunity to perform. The meeting will need to select one story only to be presented at the NAC.
Regional representatives will be allocated five minutes each to present the success story from their regional meeting at the national meeting in Canberra. The regional meeting is to select only one story to be presented within five minutes at the NAC. With over 20 people attending the NAC time does not permit for more than one story per representative.
All success stories presented at the regional NAC meetings will be published in inCite.
- ALIA Stars
There is a paper provided for this program item - the questions for discussion are at the end of the paper. Please use the information in this paper to inform members about the program and then lead the discussion through the questions. Attachment 1.
- New election of directors model
The board of directors is presenting a special resolution to a general meeting to be held in November 2005 in conjunction with the National Advisory Congress (NAC) to amend the constitution to allow for the election of all directors by the general membership. This is consistent with the requirement in the constitution that directors represent the interests of the association as a whole rather than those of a particular constituency (13.3 Directors, paragraph b), and would allow for a simplified and more equitable election process. The general membership comprises all financial personal and institutional members.

Are members aware that if they are unable to attend a general meeting, but still wish to vote on an issue to be discussed, they may nominate a proxy using the electronic proxy form provided for each meeting on the ALIA website?
- Education and workforce planning
This item needs to be put in the context of the local area. The following are suggested points for discussion
Library labour market
- What opportunities, difficulties, factors influencing it in your area?
- Library jobs - how available are jobs in your local area, what levels, hours, etc?
- Succession planning - what strategies are in place in your organisation?
- Are there any other issues relating to the library labour market in your area?
Education
- Courses on offer - do they have sufficient breadth for sustainability of profession issues Where courses have closed - what is the impact on your area of face-to-face courses v distance education - options.
- Student destinations after graduating - are they entering the profession or working elsewhere.
- Will there be sufficient people working in LIS to fill jobs as people leave workforce?
- Careers - how can we most effectively promote LIS work?
- Research awards
Please point out the research awards handout to meeting attendees. The purpose of highlighting these awards to members is to encourage them to think about participating in research and applying for an award to support their research.
- Questions
This part of the program is intended to provide a forum for discussion of local issues/questions. It is suggested that the ALIA LLO (or member organising the meeting) leads the meeting for this session. If there are any questions or issues that cannot be dealt with at the time they can be forwarded to ALIA national office for solution.
- Evaluation
Please ask all members attending the meeting to complete an evaluation form before they leave the meeting. It would be helpful for members to include their name and membership number in case we need to contact members for clarification of comments etc.
Attachment 1: ALIA Stars
Background
ALIA Stars is an advocacy program of the Australian Library and Information Association, designed to identify and promote innovation and achievements of personal and institutional ALIA members. ALIA Stars is not an awards program, but rather an opportunity to highlight and promote the success stories of ALIA members within and beyond the sector.
ALIA Stars falls under Initiative 8 of the ALIA 2005-2006 plan - Implement the ALIA Stars program - and links to Objects 3 and 5 of the plan:
- To ensure the high standard of personnel engaged in information provision and foster their professional interests and aspirations
- To encourage people to contribute to the improvement of library and information services through support and membership of the association.
The proposed outcomes of this initiative are:
- Innovations and achievements by personal and institutional members are promoted within and beyond the sector.
- Opportunities for members to tell their success stories.
Progress
The ALIA Stars program was implemented during Library and Information Week (LIW) 2005. The first ALIA stars to be recognised were:
- John Dwight, executive chair of DA Information Services, and recipient of ALIA's Premier Redmond Barry Award for his leadership in providing leading edge products and services;
- Dr Marianne Broadbent, fellow of ALIA and senior vice president - global research business strategy at the Gartner group;
- Kate Sinclair, the first recipient of the ALIA Metcalfe Award, which recognises high achievement by a personal member in their first five years of practice;
- Natasha Griggs for her pioneering work on the Finding my place program;
- MusicAustralia, a federated online music service, launched in March 2005 and internationally lauded for its ground-breaking comprehensive access to the nation's musical resources and information.
Information on these ALIA Stars was placed under the advocacy pages, mentioned in media releases on LIW and articles in inCite on LIW.

The following are discussion points for regional NAC meetings in relation to this agenda item, with the aim of further developing the ALIA Stars program.

- Discuss methods for promoting ALIA Stars to all members and regions [other than through ALIAnet and inCite].
